Recommended architecture
Meta lead → validation → CRM record → qualification rules → AI classification if needed → owner/rep assignment → personalized follow-up → booking → outcome tracking
Keep deterministic rules deterministic
If a service only operates in Massachusetts, geography is a rule—not an AI judgment. If an athlete must be within an age range, encode that rule directly.
Use AI where the input is messy: summarizing a free-text goal, categorizing an inquiry, extracting intent, or drafting a response from approved business information.
Create a simple score
A useful first version might consider:
- Service/geography eligibility
- Stated need
- Timeline
- Budget or offer fit when appropriate
- Engagement/contactability
Do not use sensitive traits or opaque proxy variables to decide who deserves service.
Route by outcome
Qualified: immediate human follow-up + booking path.
Needs information: automated clarification question.
Not currently eligible: accurate alternative or polite close-out.
Unclear: human review.
Close the loop
Push final outcomes back into reporting so marketing can distinguish leads from qualified opportunities and customers.
