Choose based on the call, not the novelty
AI is strongest when the business can define the conversation and connect the agent to accurate tools. Human coverage remains stronger for unusual situations, emotional conversations, negotiation and cases where policy is ambiguous.
Good AI receptionist workflows
- Hours, location and basic FAQs
- Lead capture
- Appointment availability lookup
- Booking or rescheduling within defined rules
- Qualification questions
- Routing to the correct person
- Confirmation messages
Require escalation
The agent should know when to stop. Create escalation conditions for complaints, emergencies, billing disputes, uncertainty, repeated misunderstanding and explicit requests for a person.
Measure the system
Track answer rate, containment rate, booking rate, transfer rate, abandoned calls, incorrect actions and customer complaints. Cost per minute is less important than cost per successfully resolved call.
Deployment rule
Start read-only where possible, then permit low-risk actions, then expand permissions only after reviewing logs and failure cases.
